Our PTO is a group of Pine Beach Elementary parents, guardians, and teachers working together to give our students the best experience possible. We meet regularly to go over upcoming events, share treasury updates, and hear from PTO members about their ideas and feedback.

In addition to special events and fundraisers, the PTO organizes a handful of regular activities and opportunities for our students (more information will be sent home with your student and shared to our Facebook page as these activities approach):

BOOK FAIRS - Pine Beach Elementary hosts Scholastic Book Fairs, bringing hardcovers, paperbacks, activity kits, and other materials to a designated area in the school for students to shop. All purchases through the Book Fair benefit our school. Parents and guardians can send money in with their students or set up an eWallet online to add funds for their child to use. Each class is provided a designated time slot during school hours for teachers to bring their students to shop. PTO volunteers are on-site to help guide students through the process, helping them find age-appropriate reading materials and determine what they can purchase with their budget.

DINE/SHOP TO DONATE - We work with local businesses who offer to have a portion of proceeds generated during a specific day and time go to the PTO. These proceeds often support a designated activity for our students or help a Pine Beach Elementary family in need. 

GRAMS - Parents/guardians or students can purchase Grams to be gifted and delivered to students during school. Examples like our Halloween Candy Grams and Thanksgiving Gobble Grams are small treats packaged with a message from you to your Panther or from one Panther to another. We also organize Birthday Gram packages for purchase that are delivered to your child on their birthday. 

SCHOOL STORE - Our volunteers organize a "School Store" throughout the year for students to purchase charms, trinkets, and Panther-branded goodies. Most of these items range from $0.50-$3.00 in price. The School Store flyer will be sent home with available items ahead of each sale. Please note that some items may sell out as we will have limited quantities. 

SPIRIT WEAR - Represent your school with our branded Pine Beach Elementary apparel (adult and children’s sizes are available for purchase). Spirit Wear is usually sold during designated Spirit Wear sales online.

Ways to help the PTO and our Panthers

Get involved.

  • Attend a PTO meeting
  • Sign-up to volunteer for events and activities
  • Run for the PTO board. We start looking for new board members towards the end of the schoolyear for the upcoming year.

Participate and promote. We organize activities, events, and fundraisers throughout the year. Help us by joining in and getting the word out:

  • For events and activities open to the public, you can share our Facebook posts to your local groups or tell your friends and family about them. Be sure to check your Facebook group’s rules before sharing.
  • We often send home flyers for our internal school activities – candy grams, fundraising sales, and more. If you’re able to participate, know that the proceeds help us keep these activities going!

 

Officer and Committee Chair Descriptions

The PTO Executive Board is comprised of elected officers, committee chairs, and school representatives. It meets one evening per month to conduct PTO business. Anyone may attend. General meetings for the entire membership are scheduled twice per year: one in August to approve the budget, one in May to elect officers.

 

Elected Officers

President – Serve as leader and key contact for the PTO; preside at all PTO meetings; ex-officio member of most committees; appoint chairpersons for special committees; coordinate the work of the officers and committees so that the PTO’s objectives can be met; assist in researching and implementing new projects as voted; draft agenda for meetings; attend all PTO meetings and volunteer as needed; responsible for securing rental acquisition forms as needed for PTO events; draft a budget with the Treasurer; assist in reviewing scholarship applications and recipients.

Vice President – Act as an aide to the President; perform the duties of the President in the absence or inability of that officer to serve; assume other responsibilities as assigned by the Executive Board; coordinate the general activities of any Special Committees created by the Executive Board; keep track of all PTO owned equipment; attend all PTO meetings and volunteer when needed; assist in reviewing scholarship applications and recipients.

Secretary – Keep the minutes of all general meetings and all meeting of the Executive Board; Will have these records available at the next meeting; will post meeting minutes in PTO binder and google drive; support and manage all communication via facebook, Mail Chimp, PTO email & Remind App; prepare all correspondence; perform all other duties assigned; maintain master documents; help recruit committee chairpersons for all vacant standing committees of the board; keep the calendar of events for the PTO; assists in reviewing scholarship applications and recipients.

Treasurer – Receives, collects, deposits and pays out all money subject to the order of the organization; renders receipts in a timely manner; responsible for getting the "bank" for events and sales; secures and protects all funds; has available financial report at all meetings; make purchases; draft a budget; Attend all PTO meetings and volunteer as needed; assist in reviewing scholarship applications and recipients.

Parliamentarian- Act as a consultant to assure that meeting and processes are conducted in accordance with bylaws; advise on parliamentary procedures using Robert's Rules of Order; bring current copy of Constitution and By-Laws to meetings.


Chairs and Other Positions (Remember, these are COMMITTEES – there should be volunteers to help.)

Community Relations – Coordinate community partnership activities, works closely with public event Committees.

Fundraising – Manage the coordination of the PTO’s fundraising activities; coordinate dates, venues, volunteers and permission; work with necessary PTO members to coordinate the final fundraising campaign.

Book Fair – Organize and oversee the book fairs in September and March; work directly with Scholastic and the Executive Board to organize dates, volunteers, set-up, break down etc.

Birthday Gram – Coordinate and schedule the calendar of student birthday’s and the drop off of the Birthday Gram; organize a team of volunteers to deliver the birthday grams; keep inventory of stock and inform the Executive Board when it is necessary to re-order.

Teacher Appreciation – Organize teacher appreciation activities and to coordinate daily recognition for Teacher Appreciation Week in May.

Spirit Wear – Coordinate the selection, design, ordering, inventory, and sales of school apparel.

Volunteer Coordinator – Coordinate volunteers for PTO events and school activities; collect list of general volunteers at beginning of year and for special events; assure that volunteer data is recorded and available to both the Board and teachers; work with teachers, staff, and leaders of committees to assure volunteers are recruited for programs; Coordinate TEAM volunteers; on-going dialog with parents and teachers as to class and grade activities.

School Store coordinator – Schedule school store to be held throughout the year. Keep inventory records – procure goods to be sold and create an expected budget and profit from each sale; provide images and prices for monthly flyer; work with volunteer coordinator to secure volunteers for each event.

Dine to Donate – Secure a dining location for events throughout the school year. Work out a percentage to be donated back to the school. Coordinate the flyer creation and distribution of the flyers for each event with the Secretary.

School Liaison – Support President and E-Board; attend all PTO meetings and volunteer as needed; collaborate with teacher liaison; report back to the executive board.

Teacher Liaison – Attend PTO meetings; collaborate with school liaison; assist in promoting PTO events; offer teachers' perspective; distribute information to the teachers.
